ClientVault AI ("we", "our", or "us") is operated by MBAS Concepts. This Privacy Policy explains how we collect, use, and protect your information when you use the ClientVault AI mobile application (the "App").
1. Information We Collect
We collect the following types of information:
- Account Information: When you create an account, we collect your name, email address, and authentication credentials (via email/password, Google Sign-In, or Apple Sign-In).
- Client Data: Information you enter about your clients, including names, contact details, notes, and associated files.
- Meeting Data: Meeting recordings, transcriptions, AI-generated summaries, insights, and action items.
- Uploaded Content: Files, documents, and images you upload to the App.
- Usage Data: Basic analytics about how you interact with the App, including feature usage and error logs.
- Device Information: Device type, operating system version, and a unique device identifier for security purposes.
2. How We Use Your Information
- To provide and maintain the App's functionality
- To process your client data and generate AI-powered insights using Google's Gemini AI
- To transcribe meeting recordings
- To manage your subscription and billing through Apple's in-app purchase system and RevenueCat
- To authenticate your identity and secure your account
- To improve the App and troubleshoot issues
- To send you essential service communications
3. Data Storage & Security
Your data is stored securely using Google Firebase (Firestore database and Firebase Storage). All data is encrypted in transit using TLS/SSL and at rest per Firebase's security standards. We implement strict Firestore security rules ensuring only you can access your own data.
4. Third-Party Services
We use the following third-party services:
- Google Firebase: Authentication, database, and file storage
- Google Gemini AI: AI processing for summaries, insights, action items, and transcription
- RevenueCat: Subscription management and purchase verification
- Apple App Store: In-app purchases and subscription billing
Each of these services has their own privacy policies. We encourage you to review them.
5. Data Sharing
We do not sell, trade, or share your personal data or client information with third parties for marketing purposes. Data is only shared with the third-party services listed above as necessary to provide the App's functionality.
6. Guest Mode
You may use the App in Guest Mode with limited functionality. Guest Mode uses Firebase Anonymous Authentication. If you choose to create an account later, your guest data will be linked to your new account. If you do not create an account, guest data may be automatically deleted after a period of inactivity.
7. AI Data Processing
ClientVault AI uses Google Gemini (provided by Google LLC) to analyze user-submitted content including notes, transcripts, uploaded files, and audio recordings. This processing enables features such as AI-generated summaries, action items, and insights.
- What data is sent: Text content, file data, and audio recordings that you upload or record within the app.
- Who processes it: Google Gemini 2.0 (Google LLC).
- User control: You can enable or disable AI processing at any time in Settings > AI Data & Privacy. A consent dialog is shown before any content is first sent to AI.
- Data retention: AI-generated results are stored in your Firebase account. Google processes your data according to their Privacy Policy.
8. Data Retention & Deletion
Your data is retained for as long as your account is active. You may delete individual clients, meetings, and uploaded content at any time within the App. To delete your entire account and all associated data, please contact us at admin@mbas-concepts.com.
9. Children's Privacy
ClientVault AI is not intended for children under the age of 17. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us immediately.
10. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access your personal data
- Request correction of inaccurate data
- Request deletion of your data
- Object to or restrict processing of your data
- Data portability

11. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Continued use of the App after changes constitutes acceptance of the revised policy.
